I. Basic Policy on the Protection of Personal Information

Tokyu Land Corporation (hereinafter referred to as the “Corporation”) is firmly of the position that the appropriate protection of personal information is an integral part of its business operations and is committed to using and managing the personal information of its customers and business partners in an appropriate manner in accordance with the Act on the Protection of Personal Information, other relevant laws and ordinances, guidelines, and the following policy.

  • (Internal System)

    The Corporation shall establish internal regulations and rules necessary for each operation regarding the handling of personal information and relevant systems, and ensure that all officers, employees, and other relevant persons are fully aware of and comply with these regulations and rules. In addition, these regulations will be maintained and improved on an ongoing basis.

  • (Acquisition of Personal Information)

    When acquiring customer's or business partner's personal information, the Corporation will notify and specify the customers or business partners of its utilization purposes, and acquire such information in an appropriate manner in accordance with relevant laws and ordinances.

  • (Use of Personal Information)

    When using customer's or business partner's personal information, the Corporation will use it within the extent of the utilization purposes stipulated and in accordance with relevant laws and ordinances, and will not use such personal information for any other purpose beyond utilization purposes.

  • (Joint Use of Personal Information)

    In certain cases, the Corporation may share the personal information provided by customers or business partners with group companies of Tokyu Fudosan Holdings Corporation, etc.

  • (Restriction on Third Party Provision)

    The Corporation will provide personal information to third parties in the following cases where it is necessary to achieve the utilization purposes and where the appropriate procedures have been performed:
    1. When the customer or business partner has given their prior consent; and
    2. When the law allows the personal information to be provided to third parties without the consent of such person.

  • (The Disclosure, Correction, Addition or Deletion, or Cessation of the Use or Elimination of Personal Information)

    When receiving a request from an individual to disclose, correct, or cease the use of their personal information, etc. held by the Corporation, the Corporation will respond appropriately in accordance with the relevant laws and ordinances after it has confirmed the identity of such individual.

  • (Ensuring Accuracy)

    The Corporation will take appropriate measures to maintain the accuracy of customer's and business partner's personal information and keep it up to date.

  • (Safety Management Measures)

    The Corporation will strictly manage personal information and take appropriate safety management measures to protect against any unauthorized access, loss, destruction, alteration, or leaks thereof or similar incidents.

  • (Supervision of Contractors)

    The Corporation may entrust the handling of personal information to third parties to the extent necessary to achieve the utilization purposes. In such cases, the Corporation will conduct necessary and appropriate supervision of the contractor in accordance with the relevant laws and ordinances.

II. Handling of Personal Information

Utilization purposes of the Personal Information

The Corporation will use the acquired personal information for the following utilization purposes.

  • To engage in sales and marketing activities such as sales visits, direct mailing, solicitation via telephone, email, or other methods, and advertising, and to perform administrative procedures, etc. related to contracts in connection with the following businesses
    • The management, leasing, sale or purchasing, brokerage, consulting, and appraisal of real estate;
    • The construction of residential areas, etc;
    • The manufacture, sale, and import or export of construction materials;
    • The management of amusement parks, entertainment facilities, and sports facilities such as golf courses, ski resorts, and sports clubs;
    • The design and supervision and contracting of building and civil engineering works;
    • The operation of commercial facilities;
    • The sale of resort and golf club memberships;
    • The management of tourism enterprises;
    • The management of hotels, traditional Japanese inns, and restaurants, etc;
    • The cable television and wired radio broadcasting business;
    • The telecommunications business and information provision and processing services business;
    • The collateralized mortgage loans business and the brokerage of such loans;
    • The sale or purchasing, agency, and management of a special purpose company, investments in special purpose companies (i.e., companies as defined in the Ordinance on Terminology, Forms and Preparation Methods of Financial Statements, etc.), and real estate investment trusts and equity interests, etc;
    • Businesses under the Real Estate Specified Joint Enterprise Act;
    • The development and sale of computer software;
    • The management of private nursing homes, the in-home long-term care services business, and preventive services for the long-term care business under the Long-Term Care Insurance Act;
    • The sale of foodstuffs, clothing, cosmetics, household goods, home appliances, telecommunications devices, furniture, books, alcoholic beverages, salt, pharmaceuticals, tobacco, revenue stamps, postage stamps, and fuels;
    • The processing and sale of food and beverages;
    • The security services business;
    • The power generation business from renewable energy sources, etc., operation and ownership of power generation facilities, and supply and sale of electricity; and
    • Any business incidental or related to those described in the respective items above.

    The descriptions of the above businesses may be added to, amended, or deleted.

  • To use the personal information for market trend analysis, surveys/analyses such as customer satisfaction surveys, product development, or measures to improve customer satisfaction related to the respective businesses described in 1. above.
  • To use the personal information in the following activities conducted by Group companies of Tokyu Fudosan Holdings Corporation and subsidiaries and affiliates listed in the Annual Securities Report of Tokyu Fudosan Holdings Corporation: sales and marketing activities such as sales visits, direct mailings, solicitation via telephone, email, and other methods, and advertising, as well as market trend analysis, surveys and analysis such as customer satisfaction surveys, product development, and measures to improve customer satisfaction.
  • To provide after-sales services to customers who have concluded contracts with the Corporation.
  • To acquire land, including land with existing houses, as well as existing buildings or other facilities, for the purpose of constructing or developing condominiums, detached houses, buildings, commercial facilities, hotels, sports facilities, and senior housing facilities, etc.
  • To provide explanations, etc. to local residents for the purpose of constructing or developing condominiums, detached houses, buildings, commercial facilities, hotels, sports facilities, and senior housing facilities, etc.
  • To fulfill the obligations and exercise the rights of the Corporation, as well as to perform various other related actions.
  • To provide information to third parties to the extent necessary to achieve the purposes of paragraphs 1. through 7. above.
  • Purposes other than those listed above may be specified separately in each of the descriptions of the businesses listed in 1. above. In such cases, such purposes will be combined with the utilization purposes defined above to constitute the utilization purposes of the personal information by the Corporation.

Joint Use of the Personal Information

The Corporation may jointly use the personal information it has acquired as follows.

  • Types of personal information to be jointly used

    Names, addresses, dates of birth, age, gender, telephone numbers, e-mail addresses, and any other information obtained by the Corporation.

  • Scope of joint use

    Group companies of Tokyu Fudosan Holdings Corporation and subsidiaries and affiliates listed in the Annual Securities Report of Tokyu Fudosan Holdings Corporation.

  • Utilization purposes by joint users of the personal information
    • The utilization purposes stated in “Utilization purposes of the Personal Information”; and
    • To use the personal information in the business/sales and marketing activities (*1) and market trend analysis, etc. (*2) outlined in 2. above conducted by Group companies of Tokyu Fudosan Holdings Corporation and subsidiaries and affiliates listed in the Annual Securities Report of Tokyu Fudosan Holdings Corporation.

      *1 “Sales and marketing activities” refers to sales and marketing activities such as sales visits, direct mailings, solicitation via telephone, e-mail, or other methods, and advertising.
      *2 “Market trend analysis, etc.” refers to market trend analysis, survey and analysis such as customer satisfaction surveys, product development, and measures to improve customer satisfaction.

Safety Management Measures

The Corporation takes the following safety management measures to ensure the protection of the personal information.

  • Establishment and maintenance of regulations governing the handling of personal information

    Rules for handling personal data (“personal data” means personal information that the Corporation has acquired or is to acquire, including that which is planned to be handled as personal data; hereinafter the same shall apply in these “Safety Management Measures”), including the acquisition, use, storage, provision, deletion, and disposal of personal data, as well as for responsible persons such as personal information managers, etc., are stipulated in the Personal Information Protection Rules and other information management provisions.

  • Organizational safety management measures

    The Corporation has appointed specific persons who are responsible for the handling of personal information, and has specified such employees who handle personal data as well as the scope of that personal data to be handled by these employees.
    The Corporatin confirms how the personal information is handled by documenting records of such handling in a personal data management ledger.
    It also strives to ensure that the personal data is handled appropriately by conducting internal audits of the status of personal data handling, and has established and operates a reporting and notification system for incidents or accidents involving leakage, theft, or loss of personal data that has occurred or is suspected to have occurred.

  • Human safety management measures

    The Corporation provides regular training to its employees and stipulates confidentiality requirements in its rules of employment.

  • Physical safety management measures

    The Corporation implements measures to prevent the theft or loss of equipment, electronic media, and documents that contain personal data.
    When disposing of equipment, electronic media, and documents that contain personal data, measures are implemented to ensure that such data cannot be recovered.

  • Technological safety management measures

    To restrict access to personal data, the Corporation limits the employees authorized to use information systems that handle personal information databases or the equivalent, by granting access rights through user IDs, and identifying and authenticating individuals who access personal information databases or the equivalent.
    The Corporation implements mechanisms to protect against unauthorized external access or unauthorized software.
    The security of information systems which handle personal data is reviewed on a regular basis, and measures have been implemented to prevent leaks resulting from the use of such systems.

  • Ascertainment of external environment

    When storing personal data outside Japan, the Corporation will implement safety management measures based on a sound understanding of the systems for the protection of personal information in the countries in question.

  • Procedure for requesting notification of the utilization purposes, disclosure of personal information, or disclosure of records of provision of personal information to third parties (hereinafter collectively referred to as the “Disclosure of the information”)

    The Corporation will respond to requests for the Disclosure of the information in the following manner upon the request of the individual.

    • For the Disclosure of the information, the relevant person must communicate with the contact described above and make a request therefor by filling out the designated request form (request for the disclosure of personal information, etc.) stating the necessary matters and submitting it by postal mail accompanied by copies of official evidence such as a residence certificate, driver's license etc.
    • For the Disclosure of the information, the relevant person is required to pay a fee of 1,000 JPY. Please enclose a postal order for 1,000 JPY when sending the request for disclosure.
    • It will take at least two (2) weeks from the date of the receipt of the request for disclosure until an answer is provided. Responses will be made either in writing by postal mail to the address of the relevant person, via an electromagnetic record, or by a method chosen by the relevant person among the methods specified by the Corporation. If it is difficult to disclose the information via the method selected by the relevant person, the response may be provided in writing.
    • If it is determined that disclosing the information would hinder the business operations of the Corporation or disrupt the Corporation in any other way, the Disclosure of the information may be limited to the extent not in violation of laws and ordinances.
  • Procedures for requesting the correction, addition, or deletion (hereinafter referred to as "correction, etc."), cessation of use, or cessation of provision to third parties of information

    Upon the request of the relevant person who is the subject of the information, a request for the correction of the information, a request for the cessation of use of the information, or a request for the cessation of the provision of information to third parties will be handled according to the following method.

    • To request the correction, etc., cessation of use, or provision of personal information to a third party, the relevant person must make the request therefor to the contact described above and the Corporation will accept it after verifying the identity of the relevant person. If the identity of the relevant person cannot be verified, the request may be refused.
    • If it is determined that accepting the request would hinder the business operations of the Corporation, the correction, etc., cessation of use, or provision of personal information to a third party may be limited to the extent not in violation of laws and ordinances.

IV. Cookies

  • The Corporation uses cookies and other tracking technologies (e.g., web beacons) to collect information about user's access history and usage of this website, including identifiers such as IP addresses (hereinafter referred to as “cookie information”). This cookie information includes information obtained by third parties. Cookies are a mechanism via which a portion of the information entered and received between the user's browser and the server when using a web page, as well as the user's usage history, is stored as a file on the user's computer.
  • The Corporation uses cookie information for the following purposes:
    - To provide input assistance for websites, smartphone apps, etc;
    - To customize the content delivered and advertisements displayed on the Corporation's website based on user interests and usage of the Corporation's website; and
    - For use as statistical data in a form that does not identify the individual in question.
  • In some cases, the Corporation may link cookie information to a customer's personal information held by the Corporation after obtaining the consent of the customer. In addition to the purposes stated above, the Corporation will use cookie information linked to personal information for the purposes stated in the “Utilization purposes of the Personal Information.” Furthermore, when cookie information linked to personal information is used, it will be managed appropriately in accordance with the Privacy Policy on the Corporation's website.
